Lunch and Learn: Copilot for email - Safe prompting essentials
This session* introduces practical ways to use Copilot Chat in Outlook to support everyday email workflows in the APS. Participants will learn how to summarise long email threads, identify key actions, draft responses and refine tone using structured prompting techniques. The session focuses on realistic use cases that reflect how staff manage inboxes and communicate with a range of audiences, including senior executives.
The session also covers important guardrails for safe and appropriate use, including handling OFFICIAL information, avoiding sensitive data in prompts and maintaining accountability for all communications. By attending, participants will gain practical techniques they can apply immediately to reduce time spent on emails, improve clarity and support consistent APS‑appropriate communication.

Annika Anand
Annika is a senior change and digital enablement practitioner with extensive experience designing and delivering training for Australian Public Service organisations. She currently leads change and enablement activities supporting the Microsoft 365 Copilot implementation at the Department of the Prime Minister and Cabinet, with a focus on building practical capability and confidence in the use of generative AI tools.
Annika has delivered modular training and facilitated interactive sessions across multiple agencies, supporting staff at all levels to adopt new digital platforms, systems and ways of working. Her training approach combines clear explanations, real world examples and hands on experimentation, enabling participants to apply what they learn to their day-to-day roles.
With a background spanning large, medium and small APS entities, Annika brings a strong understanding of APS context, governance requirements and risk considerations. She is experienced in translating complex concepts into accessible, practical guidance, particularly where policy, technology and behaviour intersect.
Her facilitation style is practical, engaging and grounded in real APS work, with an emphasis on responsible use, clear thinking and measurable capability uplift.
